Privacy Notice

Last updated: 16 September 2026

Remembrdr is the data controller for personal data processed through Remembrdr. This notice explains what we collect, why, and what rights you have.

1. Data we collect

  • Account data — name, work email, company name, login credentials, role (manager or employee).
  • Workspace data — team member names, departments, hourly cost rates, and the friction logs your team submits.
  • Private check-in data — personal reflection entries, visible only to the person who wrote them.
  • Sales enquiries — name, email, company, team size and message submitted through demo request forms.
  • Technical data — IP address, device and browser information, and usage/telemetry logs.
  • Support messages — the content of emails and messages you send us.

2. Why we use it and our legal basis

  • Creating and running your account, and providing the service — performance of a contract.
  • Calculating cost impact from the data your workspace enters — performance of a contract.
  • Security, abuse and fraud prevention — legitimate interests.
  • Improving the product and fixing faults — legitimate interests.
  • Customer support — performance of a contract and legitimate interests.
  • Marketing emails and demo follow-up — consent, which you can withdraw at any time.
  • Meeting accounting and legal obligations — legal obligation.

3. Who we share it with

  • Service providers — hosting, database, email delivery and support tooling, acting on our instructions.
  • Paddle, our Merchant of Record, for the sale of the product, subscription management, payments, invoicing and tax compliance.
  • Professional advisers — legal and accounting, where necessary.
  • Authorities, where required by law.

We do not sell personal data.

4. Visibility inside a workspace

Managers can see the friction logs, departments and cost figures for their own workspace only. Employees can see only their own entries. Private check-in entries are never visible to a manager. Workspaces are isolated from one another.

5. Retention

We keep account and workspace data for as long as your account is active, and for up to 30 days after closure to allow recovery, after which it is deleted or anonymised. Billing records are kept for as long as tax law requires. Demo enquiries are kept for up to 24 months.

6. International transfers

Data may be processed outside your country, including outside the UK/EEA. Where that happens we rely on appropriate safeguards such as adequacy decisions or Standard Contractual Clauses.

7. Your rights

Subject to local law you may request access, rectification, erasure, restriction, portability, or object to processing, and withdraw consent at any time. Email support@remembrdr.com and we will respond within one month. If you are in the UK/EEA you may also complain to your supervisory authority.

8. Security

We use appropriate technical and organisational measures, including encryption in transit, row-level access controls that isolate each workspace, and restricted internal access.

9. Cookies

We use essential cookies and local storage to keep you signed in and to run the checkout. We do not use advertising cookies. You can clear or block cookies in your browser, though the app will not stay signed in.
